MINUTES OF THE EXECUTIVE COMMITTEE MEETING HELD ON MONDAY 30 SEPTEMBER 2019 AT 4.06PM HELD IN THE CLUBS AND SOCIETIES CENTRE, ALBANY STREET, DUNEDIN

POSTERS AROUND CAMPUS
Michaela has been fielding messages from a concerned student on campus. The student last messaged today and wants to escalate her grievance. She feels the posters around campus are inappropriate, inciting further conflict and are not facilitating any meaningful discussions. She says she and some of her peers feel unsafe on campus. The posters are connected to an affiliated club. She wanted guidance on what the Executive deems as appropriate.

The general consensus after the Executive were each asked their view was to respect the freedom of speech of the clubs who put posters up but remind them they need to be careful and respectful with content.
OUSA UPDATES
- The IT structure still being investigated
- Welfare Officer resigned today. Cover for her duties will be shared and a handover document to be looked at.
EXECUTIVE REPORTS WITH AMENDMENTS
The amended copies of reports have been emailed and all 3rd quarter reports will be on the OUSA website this week.

Josh to check the following - UNICEF – only 7 members, Otago Venture Capital and Private Equity Club – are they looking at making pecuniary gain from members/club.

RETURNING OFFICERS REPORT
With social media playing a large part in campaigning there needs to be continual updates to the rules.
It was also discussed whether the $20 bonus for candidates used in the By Election would be introduced with the main election. Bonnie said she would recommend it in her Finance Officer Handover documents for next year.
It was asked why the investigation to an alleged breach late in the voting process didn’t go through a full complaint process – this was because any deduction in votes or penalties would not affect the outcome of the election. It was suggested all investigations should be actioned to show repercussions regardless of how they many impact election results.

Ben Baker has been appointed as Returning Officer for the Referendum being held 3-8 October 2019 the Association Secretary announced.
GENERAL BUSINESS
Student Voice Survey – this closes this Friday please fill it out.
Affiliated Clubs Council Meeting – 7 October at the Clubs and Societies Centre.
History Book Launch – This was a very good evening with about 50 in attendance. Professor Mark Henaghan and Aaron Hawkins were both excellent speakers. Good to have OUSA alumni and former President Steven Sutton in attendance.

430/19 THAT OUSA thank and acknowledge Philippa Keaney for her dedication to the writing of Audeamus! – We dare! OUSA History Book.

Local Body Elections – Many BBQ’s and Forums to be managed by the Executive. It was decided to hand out hot chocolate drinks as a winter theme. There are 600 flyers to be given out.
Otago Graduate Women – Bonnie was invited to give a speech about OUSA at this event. She was well received and enjoyed it.
Toroa College Formal Dinner – Jack attended this and said it went very well.
Suzie Cato is speaking in the MCR on 10 October. OUSA will run this alongside the Psychology Society.
Queer Space – OUSA has agreed to the space offered by the University and will look to expand later on.
End of Year party – The Executive are hosting this at the Starters Bar on 11 October. Executive photo will follow.
