MINUTES OF THE EXECUTIVE COMMITTEE MEETING HELD ON MONDAY 29 APRIL 2019 AT 9PM HELD IN THE CLUBS AND SOCIETIES CENTRE, ALBANY STREET, DUNEDIN

HEALTH AND SAFETY
Debbie reported that the lift installation proposed for the OUSA building has been delayed as it has been revealed that there is a need for earthquake strengthening to be done and this is a priority.
There was a woman at the ANZAC service who had a severe asthma attack from the canon and was taken to hospital. Campus watch and a staff member assisted her.
No incidents at OUSA to report.

Debbie has been on leave so no updates to report this meeting.
CAREERS DEVELOPMENT BUSINESS EMAILS
The Executive were to come back with their views. The Careers Development have since put a notice in the subject line that these are ‘sponsored emails’ and have changed the wording on the subject line of these emails.
The Exec decided that, though there were some intellectual merits behind what the student was saying, the net positives outweighed the net negatives and that these emails were overall good for students. There were some questions around the vetting process (what the Careers Hub could do to check whether or not these employers were good for students), funding (how much was this bringing in etc.), and some interest in making the opt-out more obvious (potentially through a more obvious initial email).
James to have a conversation with the Manager of the Careers Development Office and report back.
FINANCIAL AUDITED STATEMENTS FOR 2018
As attached. These are a requirement of our audit process and to check we are following correct accounting practices. Debbie emphasised the Auditors are not looking for fraud necessarily, however they do keep a check on overall processes.

156/19 THAT the OUSA Annual Audited Financial Statements for the year ending 31 December 2018 be received and accepted and presented to the student body.

STUDENT GENERAL MEETING
Sadly once again it took a lot of persuasion to get our members to attend for the meeting to reach quorum. There needs to be a review on how we can encourage people to attend. Make the meeting more inviting! William Dreyer is very keen to set up a SGM working committee. Bless you William!
All motions passed and the constitutional changes have been registered with the Companies Office. There is an updated copy of the Constitution on the website.
The Pacific Island Students’ Association President MaryJane Kivalu is to be contacted to join the Executive and attend the next meeting.
ANZAC DAY
Once again this event was excellent and very well attended. There were many comments from people and some war veterans saying it is a pleasure to attend this particular event has it is run by students and especially nice having kapa haka and other performances.

REFERENDUM FORUM
There is a requirement to have a forum to discuss any questions that are presented for the Referendum.
There needs to be an explanation for a question submitted.

Charlie remarked how Critic invites students to submit questions, this was popular last year. However, some of these questions were disallowed by the Mediator.
