MINUTES OF THE EXECUTIVE COMMITTEE MEETING HELD IN THE BULL-PEN OFFICE, 640 CUMBERLAND STREET, DUNEDIN ON WEDNESDAY 30 APRIL 2025 AT 9.03AM

PRESENT

Liam White (Chair), Amy Martin, Daniel Leamy, Amy Whyman, Stella Lynch, Ibuki Nishida, Callum Hadlow, Josh Stewart, Jett Groshinski, Ngātiki Taylor, Seluvaia Ratoul and Deborah Huang.

Debbie Downs (Chief Executive Officer), Donna Jones (Minute Secretary), Nina Brown (Critic Editor) and Tim Cooper (Dean of Learning and Teaching Academic Division).

212/25 THAT Debbie Downs, Donna Jones, Nina Brown and Tim Cooper be granted speaking rights for the duration of this meeting.

DEAN OF LEARNING AND TEACHING

Tim Cooper was introduced and invited to join the meeting to give an overview of his position and give the executive information on how to make the students experience be more effective sitting on committees.

Tim suggested to be effective in meetings and prioritise on one or two main issues and focus on them. Meeting terms of reference very important and good to know what powers it has.  Build a good relationship with the committee chair and members.

Ensure you attend meetings in person, don’t hesitate to speak up, be deciduous but don’t overdo it.

EXECUTIVE QUICK ROUND UP

Everyone refreshed from the term break and shared what tasks they are working on.

OUSA UPDATE

The cover now completely off the clubs and societies building, scaffolding will be slowly coming down.  Cleaning and clearing in progress.

Tertiary Open Days this weekend.

Lucy Hornby, CEO Executive Assistant final day Friday. 

Kyle Murdoch, Student Media Manager leaves in July to live in Singapore.

ATSA UPDATE

          The last meeting was more positive.  New draft constitution now 10 pages long.

          National conference still planned for Dunedin on 23-24 May.

MARKETING/MEDIA UPDATE

Updating advertising for the referendum coming up.  Critic did a great article ensuring it was being explained to students.  Amy emphasising please get your questions to her by Friday’s deadline.

ADVISORY BOARD POLICY

213/25 THAT the Advisory Board Policy version 1 be set.

CARE, NOT EXPLOITATION CAMPAIGN

          Care should be taken for those who have expressed they don’t like speaking out.

The issue was raised if some of the targets are too ambitious?  Asked to be aware not to bombard the student body with too many campaigns on too many issues.

RAISE THE STANDARD – STUDENT HOUSING CAMPAIGN

This will go to Residential Committee.  Last year the petition target was very hard to achieve, be mindful not to set to higher target.

STRONGER TOGETHER – AUTOMATICALLY CAMPAIGN

Should we include other sectors as well as VSM so this campaign can focus on OUSA’s overall independence goal? There could be an appetite for ATSA group to join in as concern was expressed that OUSA shouldn’t be funding a national campaign.

There should be a relevant question submitted to the referendum. This could go to Political Action Committee.

STUDENT CITY CAMPAIGN

 OUSA should educate student focussed candidates. Class Reps could be involved in this campaign, some have expressed interest.

STUDENT CHARTER 2025 CAMPAIGN

          OUSA will advocate for a student charter.

 

 

GENERAL BUSINESS

Referendum – if anyone has questions to submit, please get them to Adminvp@ousa.org.nz by 2 May.

214/25 THAT OUSA old a forum on 20 May 2025 at noon in the Main Common Room for discussion of questions for the referendum being held 26-28 May 2025.

            Submissions – DCC Nine-year Plan and ORC, been emailed to the executive.

215/25 THAT OUSA endorses and submits a submission on the DCC nine-year plan.

            The ORC submission is nearly finished and is due soon, this will be emailed and then presented to an Emergency Executive meeting this week.

Tertiary Open Days – 4th and 5th May. Mainly being held in the Union building area and in the Clubs and Societies building.  Executive are holding a Q&A session.
